CLEVELAND STATE COMMUNITY COLLEGE Cleveland, Tennessee

SUBJECT:  College Internal Communications

  1. Purpose - The purpose is to provide guidance as to the methods by which information of wide-spread application may be communicated in written form on campus.
  2. Scope - Applies to all written internal communications except:
    1. Catalogues, brochures and other publications intended to include off-campus distribution (these publications are covered by CSCC Policy No. 1:08:00:00).
    2. Written communications within a single department.  (Use of telephone and the Employee Newsletter should be used where practical).
    3. Closed circuit TV - use is encouraged - any material related to classroom instruction and activities or other matters having approval at appropriate level may be broadcast by contacting Media Center directly.  Requests for approval of other materials should be coordinated with the Dean of Academic Affairs.
    4. Emergency conditions and approval of the President or his designee have been obtained in advance.
  3. Authorized Internal Communications
    1. Cleveland State Community College Policies and Procedures Manual.
      1. Announces policies and procedures which are relatively permanent.
      2. Approved by the President.
      3. Distribution to:  President, Dean of Academic Affairs, Dean of Administrative Services, Dean of Financial Affairs, Dean of Student Affairs, Director of Job Training Partnership Office, Associate Dean, Assistant Deans, Directors, Library and Personnel Office.
    2. Guidance Letters
      1. Announces temporary policies and/or information that the President determines are of sufficient importance to require a systematic method of publication.
      2. Approved by the President.
      3. Distribution to: President, Dean of Academic Affairs, Dean of Administrative Services, Dean of Financial Affairs, Dean of Student Affairs, Director of Job Training Partnership Office, Associate Dean, Assistant Deans, Directors, Library and Personnel Office.
    3. Employee Handbook
      1. Designed as a general outline to give important information with which all personnel should be familiar.
      2. Distribution to all employees.  Copies will also be available in Library and the Personnel Office.
      3. Will be republished when contents require major revision.
    4. Employee Newsletter
      1. Designed to publicize information of temporary nature, announce meetings and events, recognize honors and achievements, publicize new employees and other information that would not be included in other publications.
      2. Published weekly and at such other times as the President determines.
      3. Distribution - Sufficient copies will be placed in mailboxes in for all employees.
      4. Items desired to be included should be placed in the mailbox of the Director of Institutional Advancement by 4:30 each  Friday.
    5. Material in Internal Communications - All personnel may recommend material to be included in any of the authorized internal communications.
  4. Bulletin Boards - See CSCC Policy No. 3:02:03:00, Paragraph 7, and Board Policy 3:02:02:00.
  5. Distribution of Publications for Outside Agencies - See CSCC Policy No. 3:02:03:00, and Board Policy 3:02:02:00.
